Terms and Conditions for Exhibit Hall Vendors


Exhibit Hall spaces are split up into three tiers:

$200 – Standard Booth Includes:

  • Single 8 × 8 ft booth space
  • One (1) Table 6’ x 2.5’
  • Two (2) Chairs
  • Two (2) Badges

$300 – Corner Booth Includes:

  • Single Corner 8 × 8 ft booth space
  • One (1) Table 6’ x 2.5’
  • Two (2) Chairs
  • Two (2) Badges

$450– Extended Booth Includes:

  • Double 16 × 8 ft booth space
  • Two (2) Tables 6’ x 2.5’
  • Four (4) Chairs
  • Four (4) Badges

$650 – Extended Corner Booth Includes:

  • Double Corner 16 × 8 ft space
  • Two (2) Tables 6’ x 2.5’
  • Four (4) Chairs
  • Five (5) Badges

In the event that we do not sell all corner spaces, then they will be filled on a first sold, first placed basis. Booth pricing was created with increasing company diversity in mind and by placing a premium on higher traffic and visibility setups. Need a bigger space or have any questions? Vendors must have a “California Seller’s Permit” with applicable date and location for the duration of the event, which can be obtained from “The California Board of Equalization”, and have the document (or copy) with them while in the Exhibit Hall.

Booths are non-transferable; Vendors may not willingly give their table away.

Refunds are available on, until 30 days before the event (March 20th).

  • Refunds are subject to a processing fee once they are accepted
  • Refunds are NOT guaranteed.
  • Refunds will be sent via check to the address of vendor.

Vendors that do not check-in to their table space prior to 10:00 am on November 1st, 2019 will forfeit their booth. Please check with the Exhibit Hall Coordinator for the list of exceptions.

Requests for specific booth spot or neighbors may be made prior to the event, but are not guaranteed during the event. Relocation is up to the discretion of the EHC.

Check-in and set-up hours will be announced soon.

Please bring the following requirements:

  • Confirmation of booth purchase (email, print out, etc.)
  • A hard copy of California Seller’s Permit
  • A valid government issued photo I.D. matching the name on registration and Seller’s Permit.

Names for publications will be done in the following format:

  • “First and Last Name” of Vendor and “Business Name” of the business.


  1. The table number must be visible at all times.
  2. Nothing is to be taped, stapled or glued to the table itself.
  3. Event Sponsor is not liable for lost or stolen items belonging to Vendor. Exhibit Hall will have set hours and lockdown.
  4. Doors will be locked overnight. Vendors leaving their personal items unattended do so at their own risk.
  5. Open areas will not be obstructed with Vendor’s goods. Any property occupying walkways will be removed and Vendor will be given one verbal warning. Further warnings will result in the removal of property and/or forfeiture of table.
  6. Vendor will not sell:
  • Proxy items/nothing sold from another studio
  • Bootleg material and/or anything that violates copyright infringement
  • Any food or beverage
  • Makeup or offer wig styling services; services may be paid for in the Event Space but must be conducted off-site. Henna tattoos, face painting, and other work expressing art on a person’s body are prohibited while in the Exhibit Hall.
  • Due to the nature of the convention, 18+ material may be displayed but MUST have genitalia covered in accordance with local nudity and public decency laws, and must be covered when transported outside of the convention. Depictions of illegal drugs and/or violence are not permitted under any circumstance. All characters depicted in adult situations must be of legal age (18+). Any questionable content may be subject to removal at the discretion of EHC; failure to comply will result in removal from Exhibit Hall.
  • “City of Burbank Municipal Code
    • City of Burbank: Title 5, Police and Public Safety, Morals and Conduct Chapter 3, 5-3-109: Public Nudity and Disrobing: No person shall appear, bathe, sunbathe, walk, change clothes, disrobe or be in any public place, place open to the public, or place open to public view in such manner that the genitals, vulva, pubis, pubic hair, buttocks, perineum, anus, anal region or pubic hair region of any person, or any portion of the breast at or below the upper edge of the areola of any female person, is exposed to public view.”
  • Lighted candles or incense: Do not make your booth a fire hazard.
  • Helium Balloons
  • Vendor (or Vendor’s Assistant) must be present at Exhibit Hall to sell Vendor’s goods/products. All sales must be conducted at Vendor’s booth. No outside sales are permitted.


  • Costume props: after a sale, all props must be taken directly to hotel room, car or be peace-bonded immediately
  • Styling services for wigs must be performed off-site in a hotel room, studio, etc.
  • Booths cannot be moved or block entrances or exits.
  • Overhead displays must demonstrate stability during all hours of the day, regardless of surroundings. Anything deemed as a safety hazard by the Exhibit Hall Coordinator must be corrected or taken down immediately.
  • Overhead displays must not extend past the vendors own booth or block another table or walkway.
  • Total clearance must not exceed 6 feet wide by 9 feet tall
  • Displays may NOT block walkways behind booths
  • Products and inventory may be stored under the table, and may NOT block walkways or foot traffic.
  • Vendor reserves the right to prohibit photography of their merchandise and assigned table area.


  • Any behavior not approved by the EHC will first receive one verbal warning. Further warnings will result in forfeiture of table. This includes harassment of any other vendor/staff/attendee, theft of any kind, or unpleasant odors from the vendor’s table.
  • Any complaints and/or disputes between Vendors (and/or staff) will be investigated by staff in a timely matter.
  • Vendor MUST comply with convention policy as well as city and state laws. Any violation of the above may result in expulsion from the convention.
